TERMS AND CONDITIONS 

The Oceania Tobacco Control Conference 2024 (OTCC 2024) is organised and run by The Cancer Council NSW, The Cancer Council WA and The Cancer Council QLD.  By registering for the OTCC 2024, you agree to be bound by the terms and conditions set out below.

Registration and Payment

  • To register for the OTCC 2024, delegates must submit a registration form and follow any directions set out on the conference website.
  • Upon successful submission of your registration form, a confirmation of registration and tax invoice will be sent to your email address (as set out in your registration form). Please contact the OTCC 2024 Conference Secretariat if you do not receive a confirmation email.
  • You must pay all registration fees, including any late fees, in full to Cancer Council prior to the start of the OTCC 2024. If you do not, you will be refused entry to the OTCC 2024.
  • On the Day registrations and any registrations submitted after the Monday 23 September 2024 will incur a late fee of AUD$100.00. Cancer Council will only accept late and On the Day registrations for the conference subject to availability.
  • The organisers cannot guarantee that collateral, such as satchels, will be available to delegates who register after Monday 23 September 2024.
  • Any request to change your registration must be emailed the OTCC 2024 Conference Secretariat. If you would like to transfer your registration to another delegate, you may do so if you have notified Cancer Council of the proposed substitution by email prior to Monday 23 September 2024.

Attendance

  • Your attendance at the OTCC 2024 is, at all times, at the sole discretion of Cancer Council. Cancer Council reserves the right to refuse entry to you to the OTCC 2024, or to request that you leave the OTCC 2024, without notice for any reason whatsoever.  If this occurs, then no refund of the registration fee will be available unless decided otherwise at Cancer Council’s sole discretion.

You must at all times comply with:

  • These terms and conditions
  • Any terms and conditions imposed by Gold Coast Convention and Exhibition Centre (Venue); and
  • Any reasonable direction given to you by Cancer Council, the Venue host, or any of their employees, agents or contractors

And Cancer Council reserves the right to immediately terminate the registration of any delegate that it reasonably believes is not complying, or has not complied, with the above terms. 

Dietary requirements
Dietary requirements must be confirmed by Monday 23 September 2024. If not advised prior, dietary requirements will not be able to be catered for.

Program
Cancer Council and the Organising Committee reserve the right to change the conference program and cannot guarantee that any particular person will appear as a speaker or panelist.

Disclaimer
All best endeavours will be made to present the program as displayed on this website. The Conference and its agents reserve the right to alter without prior notice, any of the arrangements, timetables, plans or other items relating to the meeting, for any cause beyond its reasonable control. The Organising Committee and the Conference Organisers are not liable for any loss or inconvenience caused as a result of such alteration. In the event of unforeseen circumstances, the Organising Committee and the Conference Organisers do not accept responsibility for loss of monies caused by delays. Participants are advised to take out personal travel insurance and to extend their policy to cover personal possessions. The Conference does not cover individuals against cancellations of bookings or theft or damage to belongings.

Cancellations and Refunds
Registration Cancellation Policy
Cancellation Deadline: Monday 23 September 2024
Cancellations must be notified in writing (e-mail is sufficient) to the Conference Secretariat. Cancellations for in-person registrations made by Monday 23 September 2024 will result in a full refund less $150 to cover administration costs. As an alternative to cancellation, your registration may be transferred to another person by Monday 23 September 2024 without incurring any cost penalty. The Conference Secretariat must be advised in writing of any alterations or transfers. The Organising Committee reserves final decision on a case-by-case basis for granting a cancellation in extenuating circumstances.

Travel arrangements
Delegates are responsible for all flights and accommodation. These are not included in the registration fee. Cancer Council recommends that delegates and accompanying persons take out comprehensive travel insurance.

Visas
Visa application is the sole responsibility of the participant and the organisers are unable to provide visa advice or assistance. Should you require a letter of confirmation for visa purposes, please advise the organisers to OTCC 2024 Conference Secretariat Letters will not be issued until full registration and payment is received.

Audio and video recording
Audio and video recording is strictly prohibited during the OTCC 2024.  If you fail to comply with this term, Cancer Council or its representatives or agents may require you to leave the session or the OTCC 2024.

Disclaimer
You agree that Cancer Council is not liable to you for any loss, damage, injury or any incidental, indirect, special, consequential or economic loss or damage (including loss of opportunity, exemplary or punitive damages) whether to person or property and whether arising from default, negligence, misconduct or otherwise by Cancer Council, its employees, agents or contractors in connection with the OTCC 2024.

Release and indemnity
You fully and irrevocably exclude and release Cancer Council and all OTCC 2024 sponsors, as well as their directors, officers, employees, volunteers, agents and representatives, from all liability for any loss, damage, cost or expense (whether in negligence, contract, under statute or otherwise) suffered by You as a consequence of Your attendance at and involvement in the OTCC 2024, including in relation to death and personal injury.

You further agree that if any claim, including in relation to personal injury, property damage or wrongful death arising from Your participation in the OTCC 2024 is commenced, You will indemnify and hold harmless Cancer Council and all the OTCC 2024 sponsors, as well as their directors, officers, employees, volunteers, agents and representatives, from any and all loss, damage, cost or expense in connection with such claim. 

Privacy and Intellectual Property
You acknowledge and agree that, in respect of your attendance at the OTCC 2024:

  • You may be photographed, filmed or recorded;
  • Cancer Council can use and disclose your name and image in any material, including promotional material (Material) in connection with the OTCC 2024 or future conferences, without any compensation to you;
  • Cancer Council can use and disclose your personal information for any other purpose in connection with the OTCC 2024;
  • All right, title and interest (including intellectual property rights) in the Material will automatically vest in Cancer Council on its creation;
  • You unconditionally and irrevocably consent to any act or omission that would otherwise infringe any of your moral rights in the Materials and agree to not institute, maintain or support any claim or proceeding for infringement of any such rights;
  • Cancer Council’s privacy policy contains further information about how Cancer Council uses, discloses and stores personal information. It also contains details about how you can access and seek correction of your personal information.

Affiliation with Tobacco entities
Registrations from people who are affiliated with tobacco and e-cigarette entities (current and/or during the past ten years) will be ineligible to attend or present at the conference. This includes but is not limited to those who have accepted any support, whether financial or non-financial, direct or indirect, from any parties involved in the production, distribution, marketing, promotion or sale of tobacco, e-cigarette or non-TGA approved nicotine products. 

This includes tobacco industry funded research bodies such as ‘Foundation for a Smoke-Free World’.

This policy is aligned with the World Health Organization’s Framework Convention on Tobacco Control, Article 5.3, which states in its guidelines: ‘There is a fundamental and irreconcilable conflict between the tobacco industry’s interest and public health policy interests.’
